Administration: Support Services Assistant/ Receptionist

Scope of Duties:

This position serves visitors to Mackinac State Historic Parks by functioning as a member of a Mackinac State Historic Parks support staff team jointly responsible for support functions required to carry out the administrative responsibilities and work of the organization. The employee in this position is the first contact for the public entering the administration offices on Mackinac Island and by telephone and provides administrative support for various professional staff. The purpose of this position is to provide courteous and effective response to needs of staff and to members of the public who contact MSHP offices, and to relieve staff from the details of project implementation. The employee in this position is required to maintain at all times the confidentiality of the work. 

Work Location and Schedule:

The workstation for this position is the Mackinac State Historic Parks administrative offices on Mackinac Island, although the employee may be assigned to work at other MISPC sites. It is anticipated that this position will begin in early May and work through mid-October, although the number of actual weeks and hours worked may vary depending on park needs. The general work schedule will be Monday through Friday, 8:00am to 5:00pm with a one-hour lunch period. Position may be required to work some evenings and/or holidays as park needs dictate. 

Responsibilities (Essential Functions of this Position):

  1. Maintain good working order of office machines (i.e. computer, copy machine, postage machine, fax machine)
  2. Serve as the first contact for the public at MSHP island administrative offices and by telephone.
  3. Route appointment and information requests to appropriate staff. Process incoming and outgoing mail.
  4. Update office telephone list. Respond to visitor inquiries by telephone, in person and in writing.
  5. Be prepared to act as a Docent for the Governor’s Residence Tours, by familiarizing oneself with the docent study materials.
  6. Compile visitor comments from Comment Cards, Google, TripAdvisor, and Yelp for each MSHP site and respond via e-mail.
  7. Serve as primary contact for employees at commission offices to relay messages, report absences or work schedules and radio communications.
  8. Maintain office supplies and organize supply room.
  9. Manage lost and found.
  10. Prepare board room for meetings, including set up of water and/or coffee when needed.
  11. Administer the Cannon Firing Program at Fort Mackinac. Receipt checks and/or cash in payment for licenses, leases, rent, etc., in the absence of the Executive Administrative Assistant.
  12. Schedule meetings as requested and maintain conference room schedule.
  13. Prepare reports and documents, draft, edit, type, transcribe, proof and produce agency correspondence, reports and documents.
  14. Provide general administrative support to professional staff as assigned and is responsible for conducting general typing as requested.
  15. Package and send out orders from Sutlers Store and the Visitor Center.
  16. Conduct special projects and related work as assigned. (i.e. copying, scanning files, data input).
  17. As time allows, update the Education Outreach database.

Requirements:

  1. High school diploma, some college background preferred.
  2. One year experience in an office setting.
  3. Strong verbal and written communication skills with a high level of accuracy in work performed.
  4. Excellent clerical, public contact and telephone skills.
  5. High level computer literacy with proficiency in Windows, Outlook, Excel, and Microsoft Word.
  6. Ability to establish priorities and always conduct self in a professional manner

Physical Requirements:

The employee must have the ability to do the following activities with or without reasonable accommodation: Position will require the ability to climb steps, walk long distances and up steep inclines in all types of weather, including heat, cold, rain and other inclement weather. Physical effort is categorized as that typically inherent in an administrative office setting. The employee will encounter environmental conditions typical of an office setting with the exception that the offices are not air-conditioned. Sitting and/or standing for long periods is expected along with repetitive hand motions required to input data into a computer and general typing assignments. Stretching and bending are moves commonly made throughout the day by employees in this position along with twisting, bending, stooping, reaching and grasping. Individual must have the ability to utilize ferry boat transportation to and from Mackinac Island. 

Supervision:

This position does not supervise other employees. The Support Services Assistant/Receptionist reports to the Executive Administrative Assistant to the Director. 

General Position Information:

This is a temporary seasonal at-will position which serves at the will of the employer and does not include recall rights or benefits (other than those mandated by governmental laws). This position will expire at the time employment is ended for the season and the employee does not have recall rights to this or any other MSHP position in the future. Specifically, the park is under no obligation to hire the individual in subsequent seasons. The number of weeks and hours worked may vary as park needs dictate. Additional information will be provided upon employment.
